Export Gradebook ECR

ECR export should run only when the selected workbook, class setup, learner data, grades, templates, and supported policy rules are ready.

How do I export ECR files safely from Gradebook?

Use this guide when this is the task in front of you. Stop if the selected class, learner, role, school year, file, or output does not match.

These are the minimum conditions for the workflow to make sense.

  • A saved class with the correct subject and period
  • Complete grades and the required ECR template
  • Paid access when the selected file action requires it

Review choice points, save or preview behavior, and any stop condition before continuing.

    Open Gradebook and confirm the class, school year, term, subject, and grading mode before export.

    Review the ECR workbook choice, including whether the selected template matches the grade level, subject, and term structure.

    Resolve missing scores, invalid grade values, incomplete learner records, and unsupported policy states before export.

    Generate one workbook or all-ECR ZIP

    Choose a single workbook when reviewing one subject, or the all-ECR ZIP only when every included workbook is ready.

    Open the actual Excel output

    Find the file in generated history, open the actual Excel workbook or ZIP contents, and review formatting before use.

Check these before relying on the work

These checks cover saved, previewed, generated, and teacher-review states.

  • Template is ready

    The ECR template must exist, open, and match the class grade level, subject, and term structure.

  • Grades are complete

    Required written work, performance task, exam, and final grade data should be complete where the workbook needs them.

  • Policy is supported

    The selected school year and term structure must be supported before any official-looking output is official-ready.

  • Generated history is reviewed

    The output should appear in Files with a clear label, status, time, and local path.

  • Excel file is opened

    The teacher should inspect the actual workbook or ZIP contents before printing, sharing, or filing.

Blocked states and recovery

Fix the blocker before continuing

Use the direct recovery action when GuroAssist is waiting for setup, data, access, policy, or file readiness.

  • Template missing

    Install or restore the required local ECR template before export can continue.

    After recovery: The required template is selected, readable, and shown as ready for this task.

  • Grade readiness incomplete

    Complete required scores, grade computation, and term readiness before generating.

    After recovery: The screen shows a supported school-year or policy readiness message for the selected task.

  • Unsupported school year

    Update GuroAssist or choose a supported class setup when policy rules are not ready.

    After recovery: The intended class appears in the workspace header and the task uses that class.

  • All-ECR ZIP has blocked items

    Generate the batch only after every included workbook passes readiness checks.

    After recovery: The blocker is no longer shown, and the intended next action is available for teacher review.

Safety note

ECR export must fail closed when required class setup, learner data, grade readiness, templates, or supported policy and school-year readiness are incomplete. Teachers should open the actual Excel output before use.

Do not treat a saved screen or generated filename as proof that the work is ready.

Gradebook shows the correct class, term, workbook readiness, and a generated ECR file or ZIP that opens successfully for review.

Privacy, policy, and official-looking outputs

Keep the work inside its safe boundary

These limits remain in force even when the main task appears complete.

Follow the policy and readiness message shown for the selected class and school year. Do not substitute remembered thresholds, quarter templates, or term rules.
