Privacy notice

Local-first teacher work, explained clearly.

The Windows app keeps ordinary class and learner work on the teacher's device. This notice explains the limited situations where information leaves the device or reaches the public website.

Teachers do not need a website account to browse the public site or download GuroAssist. We do not sell teacher personal data. Local records leave the device only when a teacher deliberately uses an online feature, requests support, submits Paid activation details, or chooses to share a file.

1. Scope and controller

This notice applies to the GuroAssist public website, Windows desktop app, manual Paid activation, support, anonymous operational statistics, and live AI. DataSyntrix operates GuroAssist and is responsible for the personal information described here.

The website does not offer teacher signup or a teacher account portal. A restricted operator sign-in exists only for administration and support operations.

2. What stays local

Ordinary desktop class records, learner records, grades, attendance, templates, generated files, and workspace backups stay on the teacher's device. Using a local feature does not by itself upload those records to GuroAssist.

Information leaves the device only when the teacher deliberately uses an online function, such as live AI or activation, attaches a file to a support message, or shares a generated file outside GuroAssist. Teachers should keep local files private and maintain their own safe backups.

3. Public website and download data

The public website can process:

  • the page visited and approved campaign parameters in the address;
  • anonymous events such as tutorial use, installer-download clicks, and activation-help views;
  • basic browser or device information attached by the analytics service; and
  • security and request information needed to deliver the website and prevent abuse.

Website analytics use an anonymous identifier, disable automatic click and form capture, disable session recording, mask page text and element attributes, disable IP-based identification, and respect supported Do Not Track settings. Installer download requests are counted separately and are not treated as unique teachers or successful installations.

4. Optional anonymous desktop statistics

The desktop app can report a random installation ID, app version, previous version when applicable, update channel, device architecture, event source, and install, update, or weekly active status with event timestamps.

These operational events do not include a teacher name, email, school, class, learner, file, hostname, IP-derived identity, or hardware fingerprint. Teachers can turn anonymous app statistics off at any time in desktop Settings. Turning them off does not affect Free or Paid features.

5. Paid activation, receipts, and support

When a teacher requests Paid activation, an official receipt, or support, we may process:

  • teacher name, license email, support message, and attachments the teacher chooses to send;
  • receipt reference, payment method, amount, payment date, plan, activation status, and expiry dates;
  • limited internal review notes needed to verify payment, prevent duplicate use, and resolve activation problems;
  • license and device-activation records needed to issue, refresh, transfer, or revoke Paid access; and
  • buyer name, email, address, TIN, amounts, and receipt records when required for an official receipt.

Do not include class lists, learner records, screenshots containing learner information, or unrelated school documents in a payment or support request. If support needs a screenshot, crop or cover unnecessary personal information first.

6. Live AI

Live AI is available only while Paid access is active and credits remain. Prompts, instructions, images, or document content deliberately submitted to live AI are sent through the GuroAssist service to the configured AI provider so it can generate a response. Technical usage, success, error, token, cost, and timing information can be recorded for reliability, credit accounting, and abuse prevention.

Do not submit learner names, LRNs, grades, health or disciplinary information, confidential school records, or other unnecessary personal information. If personal learner information is submitted accidentally, stop using that content and contact us promptly so we can review available deletion steps.

7. Service providers and international processing

We use service providers only to operate the relevant function. Depending on the function and current configuration, these include:

  • PostHog for privacy-restricted public website analytics;
  • OpenAI or Anthropic for live AI text, image, or document processing;
  • SendGrid or another configured email provider for activation, receipt, security, and support messages;
  • Cloudflare R2 for protected backups of records that must be retained, such as official receipts; and
  • a configured payment provider if online checkout is offered in the future.

Some providers process data outside the Philippines. We limit the information sent to the function being used and require provider access to remain subject to applicable contracts, security controls, and privacy obligations. We may also disclose information when legally required or when necessary to protect users, the service, or legal rights.

8. Retention and deletion

  • Public website analytics and anonymous desktop events are retained only for product, security, and operational measurement needs.
  • Support messages are kept while the request is active and for a reasonable follow-up or security period.
  • Activation and license records are kept for the Paid term and as needed for support, fraud prevention, accounting, and legal claims.
  • Official receipts and required tax records are retained for the period required by Philippine law, even after other records are deleted.
  • AI-provider handling follows the provider arrangement in effect when the request is made.

When information is no longer required, we delete it, anonymize it, or restrict it from ordinary use. A deletion request does not require us to delete a record that must be retained by law, but we will keep that exception limited to the required purpose.

9. Your privacy rights

Subject to applicable Philippine law, you may ask what personal information we hold about you, request access or correction, object to or withdraw consent from processing that relies on consent, request deletion or blocking, and request a portable copy where applicable. You may also raise a concern with the National Privacy Commission.

To make a request, email us from the license or support email concerned and describe the information or processing involved. We may ask for proportionate verification before disclosing, changing, or deleting a record.

10. Security and notice changes

We use access controls, encrypted network connections, limited administrative access, hashed activation codes, and operational safeguards appropriate to the service. No system can guarantee absolute security. If a reportable incident occurs, we will investigate and provide notices required by applicable law.

We will update the date on this page when this notice changes. Material changes will be explained through the website, app, activation communication, or another reasonable channel before they apply where notice or consent is required.
