Prepare SF9

SF9 is learner-specific and official-looking, so GuroAssist should require complete class, learner, grade, template, and policy readiness before output is official-ready.

Use this guide when this is the task in front of you. Stop if the selected class, learner, role, school year, file, or output does not match.

These are the minimum conditions for the workflow to make sense.

  • The intended class, learner, school year, and term
  • Complete required grades, attendance, and learner details
  • A policy-compatible SF9 template and time to inspect the actual file

    Choose the class and learner

    Open Forms, choose SF9, then select the class and learner whose local records should appear.

    Check learner identity details, class details, and required profile fields before previewing.

    Confirm required grades, term or period values, and attendance details are complete.

    Open the actual file

    After generation, open the generated SF9 file and inspect every page before use.

Review

Check these before relying on the work

These checks cover saved, previewed, generated, and teacher-review states.

  • Correct learner selected

    The selected learner should match the intended SF9 recipient.

  • Grades are complete

    Required subject grades and period values should be present.

  • Template and policy are ready

    The local SF9 template and supported school-year rules must pass readiness checks.

  • Actual file is reviewed

    Do not rely only on preview. Open the generated file before using it.

The label describes readiness inside GuroAssist; it does not create outside approval.

Blocked states and recovery

Fix the blocker before continuing

Use the direct recovery action when GuroAssist is waiting for setup, data, access, policy, or file readiness.

  • No learner selected

    Choose the learner before previewing or generating SF9.

    After recovery: The intended learner is selected and the learner-dependent action is available.

    Complete required grades and period details first.

    After recovery: The required grade data is complete, current, and available for teacher review.

  • Template missing

    Restore or install the local SF9 template.

    Update GuroAssist or class setup when the selected school year or grade rules are not supported.

Safety note

SF9 output must fail closed when required class setup, learner data, grades, period readiness, templates, or supported policy and school-year readiness are incomplete. Teachers should open the actual generated file before use.

Verify the result

Do not treat a saved screen or generated filename as proof that the work is ready.

You’re done when

The generated SF9 opens with the intended learner, term structure, grades, attendance, and no missing required field.

Privacy, policy, and official-looking outputs

Keep the work inside its safe boundary

These limits remain in force even when the main task appears complete.

Important boundary

Follow the policy and readiness message shown for the selected class and school year. Do not substitute remembered thresholds, quarter templates, or term rules.

Official-ready means GuroAssist readiness checks passed; it is not DepEd approval or submission.

For a three-term class, use Period grade sheet or another local summary when a quarter-only template is unavailable; the fallback remains local or review-only.
