Detailed workflow guide
Prepare SF5
SF5 depends on learner completion and grade readiness, so GuroAssist should treat it as blocked until required local records are complete.
Teacher goal
What should I check before previewing or generating SF5?
Use this guide when this is the task in front of you. Stop if the selected class, learner, role, school year, file, or output does not match.
In-app path
- Classes
- Open class workspace
- Forms
- SF5
Get ready
Check the starting point
These are the minimum conditions for the workflow to make sense.
Before you start
Estimated time: About 5–10 minutes
- The correct class, school year, and term
- Complete promotion and learning-progress records
- A policy-compatible template and readiness message for the selected class
You should see
The SF5 preview shows the intended class, term, promotion data, and a clear readiness state before generation.
Steps
Complete the task in order
Review choice points, save or preview behavior, and any stop condition before continuing.

Choose the class and period
Open Forms, choose SF5, and confirm the class, grade level, school year, and required grading period.
- 2
Step 2
Review grade completeness
Check that required subjects, scores, computed grades, and learner records are ready.
- 3
Step 3
Check promotion and remediation signals
Use local summary signals for teacher review, not automatic final decisions.

Preview and open the file
Preview the form, generate only when readiness passes, then open the actual file before use.
Review
Check these before relying on the work
These checks cover saved, previewed, generated, and teacher-review states.
Required grades are complete
Missing grades or unsupported grade rules should block output.
Learner records are current
Roster status and learner details should be reviewed before SF5.
Template is available
The local SF5 template must be present and readable.
Teacher review happens
Review promotion and remediation details before relying on the generated file.
File status
Understand what each output label means
The label describes readiness inside GuroAssist; it does not create outside approval.
- Local
- Saved on this device for teacher use.
- Draft
- Still needs teacher review or editing.
- Final
- The teacher marked the local work final after review.
- Official-ready
- GuroAssist readiness checks passed; this is not DepEd approval or submission.
- Review-only
- Useful for checking, but not an official-ready output.
- Blocked
- Stop and resolve the displayed readiness issue first.
Blocked states and recovery
Fix the blocker before continuing
Use the direct recovery action when GuroAssist is waiting for setup, data, access, policy, or file readiness.
Grades are incomplete
Complete required grade data before preview or generation.
After recovery: The required grade data is complete, current, and available for teacher review.
Troubleshoot this blockerPolicy readiness missing
Update GuroAssist or class setup when grade rules are unsupported.
After recovery: The intended class appears in the workspace header and the task uses that class.
Review class setupTemplate missing
Restore or install the local SF5 template.
After recovery: The required template is selected, readable, and shown as ready for this task.
Open backup and restore helpLearner data missing
Complete required learner details before generation.
After recovery: The intended learner is selected and the learner-dependent action is available.
Review roster help
Safety note
SF5 output must fail closed when class setup, learner data, grades, period readiness, templates, or supported policy and school-year readiness are incomplete. Summary signals require teacher review.
Finish
Verify the result
Do not treat a saved screen or generated filename as proof that the work is ready.
You’re done when
The SF5 preview shows the intended class, term, promotion data, and a clear readiness state before generation.
Privacy, policy, and official-looking outputs
Keep the work inside its safe boundary
These limits remain in force even when the main task appears complete.
Important boundary
Follow the policy and readiness message shown for the selected class and school year. Do not substitute remembered thresholds, quarter templates, or term rules.
Important boundary
Official-ready means GuroAssist readiness checks passed; it is not DepEd approval or submission.
Important boundary
For a three-term class, use Period grade sheet or another local summary when a quarter-only template is unavailable; the fallback remains local or review-only.
