Detailed workflow guide

Prepare SF6

SF6 uses class-level summary values, so it should be generated only after learner records, grades, and required templates are ready.

Teacher goal

What should I check before previewing or generating SF6?

Use this guide when this is the task in front of you. Stop if the selected class, learner, role, school year, file, or output does not match.

In-app path

  1. Classes
  2. Open class workspace
  3. Forms
  4. SF6

Get ready

Check the starting point

These are the minimum conditions for the workflow to make sense.

Before you start

Estimated time: About 5–10 minutes

  • The correct class, school year, and term
  • Complete summarized promotion and learning-progress records
  • A policy-compatible template and readiness message for the selected class

You should see

The SF6 preview shows the intended class, term, summarized results, and a clear readiness state before generation.

Steps

Complete the task in order

Review choice points, save or preview behavior, and any stop condition before continuing.

    Step 1

    Confirm class setup

Choose SF6 and verify the class, grade level, school year, adviser, and period details.

  2. 2

    Step 2

    Review learner and grade totals

Check counts, grade readiness, and local status changes before previewing summary values.

  3. 3

    Step 3

    Check template readiness

Confirm the local SF6 template is present and the selected class setup is supported.

  4. Files screen showing a local generated output selected for totals and formatting review after SF6 generation.View full size

    Step 4

    Generate and inspect

Generate only after readiness passes, then open the actual file to review totals and formatting.

Review

Check these before relying on the work

These checks cover saved, previewed, generated, and teacher-review states.

  • Class totals make sense

Class counts and learner status values should match the teacher's local records.

  • Grades are ready

Required grade data should be complete before summary output.

  • Template is readable

The SF6 template must be available in the local templates area.

  • Output label is honest

Local, draft, final, official-ready, or blocked labels should match readiness.

File status

Understand what each output label means

The label describes readiness inside GuroAssist; it does not create outside approval.

Local
Saved on this device for teacher use.
Draft
Still needs teacher review or editing.
Final
The teacher marked the local work final after review.
Official-ready
GuroAssist readiness checks passed; this is not DepEd approval or submission.
Review-only
Useful for checking, but not an official-ready output.
Blocked
Stop and resolve the displayed readiness issue first.

Blocked states and recovery

Fix the blocker before continuing

Use the direct recovery action when GuroAssist is waiting for setup, data, access, policy, or file readiness.

  • Class setup incomplete

Complete grade level, school year, class, adviser, or school details first.

After recovery: The required grade data is complete, current, and available for teacher review.

    Review class setup
  • Grade data missing

Complete required grade records before generating.

After recovery: The required grade data is complete, current, and available for teacher review.

    Troubleshoot this blocker
  • Template missing

Restore or install the local SF6 template.

After recovery: The required template is selected, readable, and shown as ready for this task.

    Open backup and restore help
  • School-year readiness unsupported

Update GuroAssist or class setup when policy support is not ready.

After recovery: The intended class appears in the workspace header and the task uses that class.

    Review class setup

Safety note

SF6 output must fail closed when class setup, learner data, grade readiness, templates, or supported policy and school-year readiness are incomplete.

Finish

Verify the result

Do not treat a saved screen or generated filename as proof that the work is ready.

You’re done when

The SF6 preview shows the intended class, term, summarized results, and a clear readiness state before generation.

Privacy, policy, and official-looking outputs

Keep the work inside its safe boundary

These limits remain in force even when the main task appears complete.

Important boundary

Follow the policy and readiness message shown for the selected class and school year. Do not substitute remembered thresholds, quarter templates, or term rules.

Important boundary

Official-ready means GuroAssist readiness checks passed; it is not DepEd approval or submission.

Important boundary

For a three-term class, use Period grade sheet or another local summary when a quarter-only template is unavailable; the fallback remains local or review-only.
