Detailed workflow guide
Use CPD Vault
CPD Vault helps teachers keep local certificate and evidence references organized, open files where supported, and back up professional development records.
Teacher goal
How do I keep CPD certificate evidence findable and safe?
Use this guide when this is the task in front of you. Stop if the selected class, learner, role, school year, file, or output does not match.

Get ready
Check the starting point
These are the minimum conditions for the workflow to make sense.
Before you start
Estimated time: About 5–10 minutes
- A teacher-owned certificate or evidence file
- A stable local file path or folder
- A backup before moving or cleaning evidence files
You should see
Vault lists the intended local certificate evidence with an honest file-found or file-missing state.

Complete the task in order
Review choice points, save or preview behavior, and any stop condition before continuing.

Add or attach certificate evidence
Attach a certificate where supported or add a clear local note that tells the teacher where the evidence file is kept.
- 2
Step 2
Open evidence files to check them
Use Open certificate or the local folder where available, then confirm the certificate is the intended file.
- 3
Step 3
Keep file locations stable
Store certificates in a teacher-controlled folder and avoid moving files after attaching them unless the local reference is updated.
- 4
Step 4
Use Settings backup
Use Settings backup and restore tools to protect CPD records and local file references before changing devices.
Review
Check these before relying on the work
These checks cover saved, previewed, generated, and teacher-review states.
Certificate is readable
The attached or referenced file should open and show the expected training evidence.
Local reference is current
If the file moved, update the Vault reference or note.
Folder is teacher-controlled
Keep CPD files in a folder the teacher controls instead of temporary download locations.
Backup includes CPD work
Use a current backup before device changes or large cleanup work.
Blocked states and recovery
Fix the blocker before continuing
Use the direct recovery action when GuroAssist is waiting for setup, data, access, policy, or file readiness.
Evidence file cannot be opened
Find the file again or replace the attachment before relying on the Vault entry.
After recovery: The blocker is no longer shown, and the intended next action is available for teacher review.
Review generated-file helpFile was moved or deleted
Update the local reference or restore from backup if available.
After recovery: The backup or restore summary shows the intended local workspace and a clear success or recovery state.
Open backup and restore helpFolder is not safe for long-term use
Move evidence to a stable teacher-controlled folder and update the record.
After recovery: The screen shows a supported school-year or policy readiness message for the selected task.
Troubleshoot this blockerNo backup exists
Create a backup before changing laptops, reinstalling, or reorganizing CPD evidence.
After recovery: The backup or restore summary shows the intended local workspace and a clear success or recovery state.

Safety note
CPD Vault stores local file references and teacher-owned evidence. It does not imply cloud storage, and files stay on the teacher's device unless the teacher chooses to share them.
Finish
Verify the result
Do not treat a saved screen or generated filename as proof that the work is ready.
You’re done when
Vault lists the intended local certificate evidence with an honest file-found or file-missing state.
