Detailed workflow guide

Track CPD trainings

CPD Trainings is a local professional development log for training titles, providers, dates, hours, units, CPDAS status, and evidence links kept separate from class and learner records.

Teacher goal

How do I record CPD trainings without mixing them into class records?

Use this guide when this is the task in front of you. Stop if the selected class, learner, role, school year, file, or output does not match.

In-app path

  1. CPD Tracker
  2. Trainings

Get ready

Check the starting point

These are the minimum conditions for the workflow to make sense.

Before you start

Estimated time: About 5–10 minutes

  • Teacher-owned training details
  • Dates, provider, units or hours, and status where known
  • A local evidence link or file when available

You should see

Trainings lists the saved activity with its dates, provider, units or hours, status, and local evidence link where provided.

Steps

Complete the task in order

Review choice points, save or preview behavior, and any stop condition before continuing.

    Step 1

    Add the training details

Record the training title, provider, start date, end date, hours, units, and CPDAS status shown by the teacher's source document.

  2. 2

    Step 2

    Attach or note evidence

Attach the certificate where supported or record where the teacher keeps the evidence file locally.

  3. 3

    Step 3

    Review dates and units

Check that dates, hours, units, and status match the certificate or source record before using the training in renewal prep.

  4. 4

    Step 4

    Use status labels carefully

Logged means saved locally for your records. Pending means it may count after CPDAS, provider, HRDD, or NEAP-R verification. Credited means GuroAssist counts it because the record is reflected or verified.

  5. 5

    Step 5

Keep CPD separate from class work

Do not store class or learner information inside CPD training records. CPD is the teacher's professional development workspace.

Review

Check these before relying on the work

These checks cover saved, previewed, generated, and teacher-review states.

  • Training identity is clear

The title, provider, date range, and units should be enough for the teacher to recognize the record later.

  • Evidence is reachable

Attached certificate files or local file notes should point to a file the teacher can open.

  • Status is honest

Use Logged, Pending, and Credited only as local tracking labels, and verify official status with PRC/CPDAS when needed.

  • Backup is current

Back up CPD records before changing laptops or cleaning old professional development files.

Blocked states and recovery

Fix the blocker before continuing

Use the direct recovery action when GuroAssist is waiting for setup, data, access, policy, or file readiness.

  • Required training details missing

Complete the title, provider, date, hours, and units before relying on the record.

After recovery: The blocker is no longer shown, and the intended next action is available for teacher review.

  • Certificate file is missing

Attach the file again or update the local evidence note if a certificate was moved.

After recovery: The blocker is no longer shown, and the intended next action is available for teacher review.

  • Status is uncertain

Mark the local status carefully and check PRC/CPDAS when the teacher needs official status.

After recovery: The blocker is no longer shown, and the intended next action is available for teacher review.

    Troubleshoot this blocker
  • No backup before cleanup

Back up before deleting or reorganizing CPD records and certificates.

After recovery: The backup or restore summary shows the intended local workspace and a clear success or recovery state.

Safety note

CPD Trainings is a local professional development log. It helps the teacher organize evidence, but it does not guarantee official status or renewal success.

Finish

Verify the result

Do not treat a saved screen or generated filename as proof that the work is ready.

You’re done when

Trainings lists the saved activity with its dates, provider, units or hours, status, and local evidence link where provided.
