Detailed workflow guide

Export PMES evidence and portfolio drafts

PMES evidence and portfolio export helps teachers keep local evidence references, notes, readiness messages, and generated portfolio files under teacher review.

Teacher goal

How do I organize PMES evidence and export a portfolio draft safely?

Use this guide when this is the task in front of you. Stop if the selected class, learner, role, school year, file, or output does not match.

In-app path

  1. PMES
  2. Evidence Files or Portfolio Review

Get ready

Check the starting point

These are the minimum conditions for the workflow to make sense.

Before you start

Estimated time: About 5–10 minutes

  • Teacher-owned evidence files and their local descriptions
  • The intended portfolio scope
  • Time to open and inspect the actual draft file

You should see

The portfolio review shows linked local evidence and produces a review file whose references and blank fields have been checked.

Steps

Complete the task in order

Review choice points, save or preview behavior, and any stop condition before continuing.

    Step 1

    Collect evidence files locally

Use Evidence Files or the PMES workspace to point to teacher-owned files on the device or a teacher-controlled folder.

  2. 2

    Step 2

    Add concise evidence notes

Write a short note that explains what the evidence supports, without copying full documents or adding unnecessary learner details.

  3. 3

    Step 3

    Check portfolio readiness

Review missing evidence, missing notes, missing templates, and file-location warnings before generating a portfolio draft.

  4. 4

    Step 4

    Generate only when ready

Portfolio export and other generated files require Paid where supported, and readiness checks can still block output when setup is incomplete.

  5. PMES Portfolio Review showing a saved local PowerPoint review draft and remaining evidence and note gaps.View full size

    Step 5

    Open the actual portfolio file

After export, open the generated file from Files or the local folder and review every page, file reference, label, and blank field.

Review

Check these before relying on the work

These checks cover saved, previewed, generated, and teacher-review states.

  • Evidence files still exist

Local references should point to files that have not been moved, renamed, or deleted.

  • Notes are teacher-readable

A future teacher review should understand why each evidence item is included.

  • Paid and readiness are satisfied

Paid access can unlock generated files, but it does not bypass missing setup or local template checks.

  • Draft status is clear

Portfolio output remains draft until the teacher opens and reviews the actual file.

Blocked states and recovery

Fix the blocker before continuing

Use the direct recovery action when GuroAssist is waiting for setup, data, access, policy, or file readiness.

  • File path is broken

Find the evidence file again or update the local reference before exporting.

After recovery: The blocker is no longer shown, and the intended next action is available for teacher review.

  • Required note is missing

Add a short teacher note before relying on the evidence item in a portfolio draft.

After recovery: The blocker is no longer shown, and the intended next action is available for teacher review.

    Troubleshoot this blocker
  • Paid or output readiness is missing

Activate Paid where supported and complete all readiness requirements before export.

After recovery: Paid access and any required credits are shown as available for this action.

    Open activation help
  • Portfolio file was not opened

Do not share or reuse a generated portfolio draft until the teacher checks the actual file.

After recovery: The blocker is no longer shown, and the intended next action is available for teacher review.

Safety note

PMES evidence files and portfolio exports are teacher-owned local materials. A portfolio output remains draft until the teacher reviews the generated file and decides what to keep.

Finish

Verify the result

Do not treat a saved screen or generated filename as proof that the work is ready.

You’re done when

The portfolio review shows linked local evidence and produces a review file whose references and blank fields have been checked.
