Detailed workflow guide
Prepare PMES eSAT, IPCRF, and COT work
PMES eSAT, IPCRF, and COT workflows help teachers organize local notes, evidence references, draft forms, and readiness checks before they decide what to keep.
Teacher goal
How do I prepare PMES work without turning GuroAssist into a decision system?
Use this guide when this is the task in front of you. Stop if the selected class, learner, role, school year, file, or output does not match.
In-app path
- PMES
- eSAT, IPCRF, or COT
Get ready
Check the starting point
These are the minimum conditions for the workflow to make sense.
Before you start
Estimated time: About 10–20 minutes
- Teacher-owned notes or evidence for the chosen PMES task
- The intended eSAT, IPCRF, or COT workflow
- The actual exported workbook or file available for teacher review
You should see
The selected PMES workspace shows teacher-owned readiness, missing evidence if any, and review/export actions without rating or approval claims.
Steps
Complete the task in order
Review choice points, save or preview behavior, and any stop condition before continuing.

Start from the PMES workspace
Open PMES, confirm the teacher profile and school-year details used by the local workspace, then choose the tab that matches the work: Objective Notes, Evidence Files, COT Observations, eSAT, IPCRF, or Portfolio Review.
- 2
Step 2
Write objective notes from local evidence
Use Objective Notes to summarize what the teacher's local evidence shows. Keep notes short, factual, and free of unnecessary learner names, grades, attendance details, or file contents.
- 3
Step 3
Prepare COT observation drafts
Use COT Observations to collect observation details and draft support files, including single-observer or inter-observer workflows where enabled.

Prepare eSAT and IPCRF drafts
Use eSAT for a local self-assessment session and IPCRF for a local draft rollup. Save and review the local work before checking whether official workbook export is ready.

Distinguish drafts from verified workbook exports
Export local IPCRF draft creates a teacher-owned draft. Generate official eSAT workbook and Export official IPCRF use verified local workbook templates only after privacy, profile, ratings, and template readiness checks pass.
- 6
Step 6
Open the actual Excel workbook
Open every generated XLSX or XLSM file in Excel and check the teacher identity, ratings, objectives, evidence, formulas, protected areas, and filename. For the official IPCRF workbook, choose Enable Content before using the DepEd Start button only when the file came from the verified local template workflow.
- 7
Step 7
Review the Portfolio Review tab before exporting
Use readiness messages to catch missing notes, missing files, missing local templates, or incomplete teacher details before generating PMES files.
Review
Check these before relying on the work
These checks cover saved, previewed, generated, and teacher-review states.
Teacher profile is complete
Name, position details, school-year details, and related local fields should match the teacher's intended records.
Evidence notes are factual
Notes should describe the teacher's evidence without copying unnecessary private file contents.
Local templates are ready
Generated files should use the verified local templates or app-supported draft outputs shown as ready.
Export type is clear
Local IPCRF draft stays a draft; official eSAT or IPCRF workbook export requires the verified local template and all displayed readiness checks.
Generated file is opened
Open the actual Excel workbook after export and review populated cells, formulas, prompts, and missing fields before using it outside the app.
Blocked states and recovery
Fix the blocker before continuing
Use the direct recovery action when GuroAssist is waiting for setup, data, access, policy, or file readiness.
Teacher details are missing
Complete the local teacher profile and PMES setup before relying on generated PMES files.
After recovery: The blocker is no longer shown, and the intended next action is available for teacher review.
Review generated-file helpEvidence is not linked or summarized
Add the local evidence reference and a short teacher note before generating portfolio or PMES drafts.
After recovery: The blocker is no longer shown, and the intended next action is available for teacher review.
Troubleshoot this blockerTemplate readiness is missing
If the app marks a workbook or template as blocked, stop and complete the required setup first.
After recovery: The required template is selected, readable, and shown as ready for this task.
Review generated-file helpReview is incomplete
Do not treat an exported PMES file as final until the teacher opens the file and checks it.
After recovery: The blocker is no longer shown, and the intended next action is available for teacher review.

Safety note
PMES eSAT, IPCRF, and COT preparation stays local and teacher-owned. A verified local template can support an official workbook export, but GuroAssist does not rate, approve, certify, or replace the teacher's actual Excel review and school process.
Finish
Verify the result
Do not treat a saved screen or generated filename as proof that the work is ready.
You’re done when
The selected PMES workspace shows teacher-owned readiness, missing evidence if any, and review/export actions without rating or approval claims.
