Detailed workflow guide
Prepare SF1
SF1 depends on accurate local class and learner records, so GuroAssist should block official-looking output when required setup is missing.
Teacher goal
What should I check before previewing or generating SF1?
Use this guide when this is the task in front of you. Stop if the selected class, learner, role, school year, file, or output does not match.
In-app path
- Classes
- Open class workspace
- Forms
- SF1
Get ready
Check the starting point
These are the minimum conditions for the workflow to make sense.
Before you start
Estimated time: About 5–10 minutes
- The correct class, school year, and role
- A complete roster with required learner details
- A supported SF1 template and Paid access when generation requires it
You should see
The SF1 readiness panel passes, and the generated file opens with the intended class and learner records.
Steps
Complete the task in order
Review choice points, save or preview behavior, and any stop condition before continuing.
View full sizeOpen the actual generated page and check class identity, learner order, required details, and layout before use. Captured July 10, 2026. Step 1
Choose the class
Open Forms, choose SF1, and confirm the class, grade level, school year, and adviser details.
- 2
Step 2
Review learner records
Check learner names, LRN where required, sex, birth details, and other roster fields the SF1 preview uses.
- 3
Step 3
Preview before generating
Use preview to check row order, missing details, and formatting before creating a local file.
- 4
Step 4
Open the generated file
After generation, open the actual file from Files and inspect it before printing or sharing.
Review
Check these before relying on the work
These checks cover saved, previewed, generated, and teacher-review states.
Class setup is complete
School year, grade level, class name, adviser, and school details should be present.
Learner data is complete
Required roster details should be reviewed before the output is treated as ready.
Template is available
The local SF1 template must be present and readable.
Policy readiness is supported
The selected school year and form support should pass before official-looking output is official-ready.
File status
Understand what each output label means
The label describes readiness inside GuroAssist; it does not create outside approval.
- Local
- Saved on this device for teacher use.
- Draft
- Still needs teacher review or editing.
- Final
- The teacher marked the local work final after review.
- Official-ready
- GuroAssist readiness checks passed; this is not DepEd approval or submission.
- Review-only
- Useful for checking, but not an official-ready output.
- Blocked
- Stop and resolve the displayed readiness issue first.
Blocked states and recovery
Fix the blocker before continuing
Use the direct recovery action when GuroAssist is waiting for setup, data, access, policy, or file readiness.
Required learner details missing
Complete missing roster fields before generating.
After recovery: The intended learner is selected and the learner-dependent action is available.
Review roster helpTemplate missing
Restore or install the local SF1 template before continuing.
After recovery: The required template is selected, readable, and shown as ready for this task.
Open backup and restore helpUnsupported class setup
Update class details or GuroAssist when the selected school year is not supported.
After recovery: The intended class appears in the workspace header and the task uses that class.
Review class setupOutput review not done
Open the actual generated file before relying on it.
After recovery: The blocker is no longer shown, and the intended next action is available for teacher review.
Review generated-file help
Safety note
SF1 output must fail closed when required class setup, learner data, template readiness, or supported policy and school-year readiness is incomplete. GuroAssist does not submit the form for the teacher.
Finish
Verify the result
Do not treat a saved screen or generated filename as proof that the work is ready.
You’re done when
The SF1 readiness panel passes, and the generated file opens with the intended class and learner records.
Privacy, policy, and official-looking outputs
Keep the work inside its safe boundary
These limits remain in force even when the main task appears complete.
Important boundary
Follow the policy and readiness message shown for the selected class and school year. Do not substitute remembered thresholds, quarter templates, or term rules.
Important boundary
Official-ready means GuroAssist readiness checks passed; it is not DepEd approval or submission.
